What is book formatting, and do I actually need it?

Book formatting is the process of taking your manuscript and preparing it into a properly styled, print-ready or e-reader-ready file — correct margins, chapter breaks, headers, page numbers, fonts, and layout. If you plan to self-publish on platforms like Amazon KDP, IngramSpark, or Draft2Digital, proper formatting is essential; unformatted manuscripts are usually rejected or look unprofessional to readers.

What formats do you offer?

How long does formatting take?

Manuscript Preparation

Does my manuscript need to be fully edited before I send it?

Yes, we strongly recommend completing developmental editing, copyediting, and proofreading before formatting. Formatting locks in the layout, so any text changes made afterward (beyond minor fixes) can shift pagination, headers, and page counts, requiring a re-format. If you haven’t been edited yet, we’re happy to recommend trusted editors we’ve worked with.

What should I include in my manuscript file before sending it?

Ideally, send your full text in reading order — title page, dedication, chapters, and back matter — in one document. Note where you’d like chapter breaks, part dividers, images, or special elements like poems, letters, or text messages so we can style them distinctly. You don’t need to format anything yourself; just flag anything unusual.

Can you fix typos or grammar issues you spot while formatting?

Formatting is a layout service, not a proofreading pass, so we don’t edit your prose. That said, if we notice an obvious typo or formatting inconsistency (like a stray tab or duplicated paragraph), we’ll flag it for you to confirm rather than silently changing your words. If you’d like a proofread, ask us about our [proofreading add-on / editing partners].

What if I need to make text changes after formatting has started?

Minor changes (a sentence or a few words) can usually be worked into your revision rounds at no extra charge. Larger changes, like adding or removing a chapter, may require a partial or full re-format and could affect turnaround time and cost. We’ll always let you know before doing additional billable work.

Print Formatting Details

What trim sizes do you support?

We format for all standard trim sizes supported by Amazon KDP and IngramSpark, including 5″ x 8″, 5.25″ x 8″, 5.5″ x 8.5″, 6″ x 9″, and 8.5″ x 11″, among others. If you have a specific size in mind, let us know and we’ll confirm it’s supported by your chosen printer.

Do you set up margins and bleed correctly for printing?

Yes. We calculate mirrored margins based on your page count (since thicker books need a wider inner margin for the binding gutter), and set up bleed correctly for any full-bleed images or design elements that extend to the edge of the page.

Can you design running headers, footers, and page numbers?

Yes, this is included in every print formatting package. We typically use your book title and author name (or chapter titles) in the running headers, with page numbers placed according to your chosen layout style. Front matter (title page, copyright page) is left unnumbered by convention.

Do you provide a print proof or physical copy before final delivery?

We send a digital PDF proof for you to review on-screen before finalizing. We recommend ordering a physical proof copy directly through your printer (e.g., KDP’s proof-copy feature) before your book goes live, since colors and spacing can look slightly different on paper.

Can you format books with images, illustrations, or photos?

Yes. We work with illustrated fiction, children’s books, cookbooks, memoirs with photos, and non-fiction with charts or diagrams. Please send images as high-resolution files (300 DPI minimum for print) separately from your manuscript, along with notes on placement.

eBook Formatting Details

What's the difference between EPUB and MOBI, and do I need both?

EPUB is the industry-standard format used by Apple Books, Kobo, Google Play, and most retailers. MOBI (and its successor, KPF/AZW3) is used specifically for Amazon Kindle. If you’re publishing primarily on Amazon, KDP now accepts EPUB directly and converts it automatically, so you may only need one file — we’ll advise based on where you’re publishing.

Will my eBook have a clickable table of contents?

Yes, every eBook we format includes a navigable, clickable table of contents, along with an NCX/HTML nav file that satisfies retailer requirements (this is what lets readers jump between chapters from their device’s menu).

Does eBook formatting support reflowable text?

Yes, for standard fiction and non-fiction we build reflowable EPUBs, meaning text automatically adjusts to the reader’s chosen font size and device screen. For heavily illustrated books (children’s books, comics, cookbooks) we use fixed-layout formatting instead, which preserves exact positioning.

Can you add drop caps, scene break symbols, or custom fonts to my eBook?

Yes, decorative chapter openings, scene break dividers (like ornamental symbols or asterisks), and embedded custom fonts can all be added. Note that some e-readers override custom fonts based on user settings, so we design with graceful fallbacks in mind.

Will you test my eBook file before sending it to me?

Yes, every eBook is validated using industry-standard tools (like EPUBCheck) and previewed on multiple simulated devices and font sizes before delivery, to catch layout issues before you upload to a retailer.

Style & Customization

Can I choose my own fonts and design style?

Yes. We offer a selection of professionally licensed, print-safe fonts to choose from based on your genre, or you can request a specific font if you have one in mind (we’ll confirm it’s properly licensed for embedding/publishing use).

Do you offer different templates for different genres?

Yes, we tailor layout conventions to genre: for example, romance and fiction typically use classic serif fonts with ornamental scene breaks, while business and non-fiction books often include sidebars, pull quotes, numbered lists, and a more structured hierarchy of headings.

Can you format special elements like poetry, letters, or text messages?

Yes, we style these distinctly from standard body text so readers immediately recognize them — indented and centered for poetry, a different font or box for letters, or a messaging-app style layout for texts, depending on your book’s tone.

Can you build a front matter and back matter section for me?

Yes. Front matter (title page, copyright page, dedication, table of contents) and back matter (acknowledgments, about the author, “also by” page, review request) are included in our packages. Just send us the text, or ask us for standard template wording you can personalize.

Series & Multi-Book Projects

Do you offer discounts for formatting a full book series?

If I release a new edition later, can you reuse my existing template?

What software do you use to format books?

Do I keep the rights and source files to my formatted book?

Do you keep a copy of my manuscript?

We retain project files for 30 days after delivery in case you need re-formatting or run into upload issues, then securely delete them. Your manuscript is never shared with third parties.

What if my book gets rejected by a retailer after upload?

This is rare since our files are built to spec, but if a retailer flags a technical formatting issue (as opposed to a content or metadata issue on your end), we’ll fix it at no additional charge within [X days] of delivery.

What happens if I find a formatting issue after the project is closed?
